Back up your workspace
Copy your whole workspace to Google Drive every night, choose how many copies to keep, and restore channels, agents, memories and skills from a backup.
Keep a copy of your workspace outside UFO, in case a channel, an agent or a memory gets deleted by mistake. The workspace owner connects Google Drive once; after that UFO copies the workspace there every night. You'll find it all in Settings → Data & backup.
Back up to Google Drive
Only the workspace owner can connect a backup. Other members see its status.
- Open Settings → Data & backup.
- Under Google Drive Backup, press Connect Google Drive.
- A Google window opens. Choose your Google account and allow access.
- Back in UFO, the card shows Backing up to your@email → UFO Backups folder.
What gets copied:
- Every night (after 03:00 Korea time): the messages and attachments that are new since the last backup.
- Once a week: a full copy of the workspace — channels and messages, attachments and Drive files, agents, memories, skills, tasks, to-dos and schedules.
- Old copies are cleaned up for you, by the Keep settings below.
The first backup is a full copy. It runs that night, or right away if you press Back up now.
UFO can only see the files it puts in your Google Drive — not the rest of your Drive.
Check that it ran
The card shows the last backup — when, whether it was new messages or a full copy, how many messages, its size and how many new attachments. In Drive now lists the copies kept. Attachments sit in an attachments folder, each uploaded once.
If a backup failed, the card says why. When it says to use Reconnect, press Reconnect and sign in to Google again.
Choose how many copies to keep
Under Keep, set three numbers and press Save:
| Setting | Means | Starts at |
|---|---|---|
| latest backups | The most recent nightly copies | 7 |
| weekly full copies | Weekly full copies | 4 |
| monthly copies | One copy per month | 3 |
Older copies are deleted from your Google Drive. A nightly copy always keeps the full copy it builds on, so anything that's kept can be restored.
Restore channels from a backup
Use this to bring back a channel that was deleted, or to see a channel as it was on an earlier day. Owner only.
- Settings → Data & backup → Google Drive Backup → Restore…
- Pick a backup from the list — each shows its date and how many messages it holds.
- Choose Channels, then press Show channels.
- Tick the channels you want. Filter channels narrows the list, Select shown ticks all of them, Clear unticks. Channels marked deleted now no longer exist in the workspace.
- Press Restore 1 channel (or Restore N channels) and confirm.
The channels come back as new channels named "… (restored)", in a restored-date folder in the sidebar, with their messages as they were at that backup. Their attachments come back too, as far as the backups hold them. Nothing that exists now is changed. Progress shows on the backup card.
Bring back deleted agents, memories and skills
- Settings → Data & backup → Google Drive Backup → Restore…
- Pick a backup, choose Agents, memories & skills, then press Show what's missing.
- You see only what was deleted since that backup, grouped as Agents, Memories and Skills. Everything is ticked to start — untick what you don't want.
- Press Restore N items and confirm.
They come back as they were at that backup, and agents pick them up within a minute. Anything that still exists is left alone. If nothing was deleted, the screen says Nothing is missing.
Pause or stop backups
| You want to | Do this |
|---|---|
| Skip the nightly backup for a while | Switch off the toggle next to Backing up to … (Nightly backup off) |
| Back up right now | Back up now |
| Stop backing up to Google Drive | Disconnect — copies already in your Google Drive stay there |
Keep a copy on the machine too
The same tab has Workspace Backup: the machine your agents run on keeps a nightly copy of the workspace — messages and settings — on its own disk. A workspace admin or owner sets it up:
- Switch on Workspace Backup.
- Type a folder on the machine, as a full path — or leave it empty for the default folder. An external drive works too.
- Press Save Changes.
The first copy runs that night, or within a minute of the machine picking up the change. The screen then shows the last backup time, how many channels and its size.
Restoring from the app (Restore…) works with the Google Drive backup.
